Office 365 comes with a plethora of new tools for organisations to take advantage of. Aside from the Office suite that we all know, there are tools like Teams, Planner and Skype for Business to change the way in which we communicate and collaborate.
Skype for Business is a communication tool that has been built into Office 365 to offer new ways for teams to collaborate with one another. There is often a misconception that Skype is just a video call tool and many organisations cannot see how they could benefit from this. While we have just said that we are going to look at the benefits of Skype for Business beyond video calling, we still cannot get away from the fact that this is an advantage of the tool. Video calling can be used in a variety of different ways dependent upon how your business operates. You may have a lot of people out in the field and working from home such as sales reps. If this is the case then it can often be advantageous to have a video call occasionally to have a face-to-face chat. The ways we communicate with people can be massively different if we are able to see their expressions and reactions.
Video calls are also useful when you’re calling people outside of your organisation. You may outsource certain functions of your business to other organisations because it makes it easier for your operations. For example, you may outsource telemarketing to an external agency. Skype for Business removes the issue of distance. If you’re working with a company that is on the other side of the country you can still develop valuable relationships with people by seeing their faces and expressions rather than them just being a voice on the end of the phone.
We communicate very differently in both our personal and professional lives compared to how we did ten or twenty years ago. We are used to texts, WhatsApp and Facebook Messenger now. Email no longer lends itself to the conversations that we are used to, we know we are not going to get the instant response or the feel of a real conversation. You don’t want to send an email because you know it might just sit in their inbox for days when you really do need to know soon. Sending an instant message is a good way of quickly asking a question and getting a person’s response without impacting their train of thought.
If you have multiple sites, getting your teams together can be expensive. Dependent upon how close together your sites are, you might have to shell out for hefty expenses claims and hotel rooms. Being able to show someone something on your screen when you are on a call can be so useful. It might be that you want to show a dashboard to someone with the latest financial report. It might be that you want to demo a piece of software to someone so they can see how it works. You might just be going through a normal Word document with someone and want to examine it together.
